Why Your QuickBooks Online Balance Doesn't Match Your Bank

If the balance in QuickBooks Online doesn't match your actual bank account, one of these five common issues is usually the culprit. Here's how to find it.

It’s one of the most common questions I hear: “QuickBooks says I have one balance, but my bank says something completely different. Which one is right?”

The good news is that a mismatch almost always comes down to a handful of fixable issues. Here are the five I see most often.

1. Unreconciled transactions

If you’ve never reconciled, or stopped months ago, QuickBooks has no checkpoint against your real statements. Transactions drift, duplicates sneak in, and the balance slowly diverges from reality. Monthly reconciliation is the single most important habit for accurate books.

2. Duplicate transactions

Bank feeds are wonderful until the same transaction imports twice, or you manually enter something the feed also brings in. Duplicates inflate income or expenses and throw the balance off.

3. Transactions entered in the wrong account

A payment recorded against the wrong bank or credit card account is a classic. The money is in QuickBooks, just not where it belongs, so individual account balances are wrong even if the big picture looks close.

4. Pending vs. posted timing

Your bank’s “available balance” includes pending items; QuickBooks reflects what’s been entered. A difference of a few days and a few transactions is often just timing, not an error.

5. Manual edits to reconciled transactions

Editing or deleting a transaction that was already reconciled quietly breaks the reconciliation it belonged to. QuickBooks will warn you, but it’s easy to click past.
